We're reopening it to talk about what's happening with artificial intelligence in business administration, which is a lot, and how we're experiencing it from the inside, which is no small thing either.
Twenty years automating what nobody wants to type
At Quantyca we've been automating administrative processes for almost 20 years. Ubyquo has processed more than 115 million invoices and 170 million bank transactions for more than 4,900 customers.
For almost all that time, automating meant being deterministic: the same invoice always produced the same journal entry. Rules, templates and exceptions. If the rule was well built, it was right one hundred percent of the time. If it didn't exist, it did nothing, and that, although it may not seem so, is also a virtue.
From deterministic to probabilistic
AI works differently. It doesn't apply a rule: it estimates. It sees an invoice from a supplier it has never seen before and tells you, with high probability, the account, the VAT rate or the cost center. That opens doors rules would never open: new suppliers, unusual formats, documents that don't fit any template.
But there's one thing worth remembering: a probable journal entry is not a journal entry. The tax authorities have no use for "probably".
That's why our transformation hasn't been about swapping rules for AI, but about adding it. We're building artificial intelligence into all our processes, and when we say all, we mean all: data extraction, posting, bank reconciliation, orders and delivery notes, document classification... Migrating code and a customer base of this size isn't done over a weekend. We're doing it without anyone having to stop closing their month.
The guarantee: an AI that knows where AI gets it wrong
Ubyquo's models don't come out of a manual. They're trained on twenty years of real accounting and retrained every month. They know the tax cases you won't find in any book: reverse charge, equivalence surcharge, non-deductible VAT... And they detect their own false positives.
Underneath is the same deterministic safety net as always. When the AI is unsure, the rule answers. When the rule falls short, the AI suggests and you decide. Because one wrongly posted entry costs more than a hundred correct ones. All of it, by the way, with ISO 27001 certified security.
Welcome, "AI only"
These months, plenty of solutions are reaching the market with AI as their only calling card. Welcome, and we mean it: they bring fresh ideas, push the sector forward, and it's always good to have someone to compare yourself with.
What we bring to AI is what can't be trained in a few months: two decades solving our customers' real accounting. Anyone can get the first invoice right. The hard part is getting the next one right, the odd one, the end-of-quarter one.
